About the role:
We have an exciting opportunity for a Project Administrator to join the Contracts department at McAlpine Hussmann, based in our Head Office in Mt Wellington.
Reporting to the AC Contracts Manager, you will play a key role in supporting our Contracts team by managing project financials, warranty provisions, and subcontractor payments across a portfolio of projects.
You will work closely with Project Managers, Project Engineers and Subcontractors to ensure projects run smoothly from a financial and administrative standpoint.
The key tasks for this role include:
Setting up project warranty provisions.
Responsible for all project journals.
Contracts warranty provision tracking – listing, opening, closing, reconciliation, and month end deactivation.
Responsible for maintaining the retention schedule, retention management and reporting.
Responsible for resolving retention issues and collecting retention monies.
Prepare and issue payment schedules and final account statements for subcontractor payments.
Prepare, review and submit off site margin reports to the finance department at the end of each month.
Process, track and reconcile subcontractor payment claims for all projects.
Revenue take-up on projects less than $100k in contract value.
Assist Project Managers with any queries as required, e.g. checking client's final accounts, purchase orders, costs, supplier invoices, payments etc.
The key skills required for this role include:
At least 3 years' experience in project administration, project management, or project accounting (construction industry experience preferred).
Knowledge of and experience with Salesforce and/or SAP is desirable but not essential.
A tertiary qualification (Diploma or Degree).
Strong critical thinking skills and a sound level of financial aptitude, particularly in relation to journals.
Excellent attention to detail and a high level of accuracy.
An understanding of how project revenue, costs, and margins are managed.
Strong written and verbal communication skills.
The ability to work to tight deadlines, with the flexibility to meet finance reporting deadlines to meet project deliverables.
